Bring a rough schedule and mark where the music moves from one space to another. Two proposals with the same number of hours can cover very different parts of your day.
Who will introduce us?
Ask who will DJ, who will take the mic and whether you can meet them before you book. Find out how the assignment is confirmed and whom you’ll work with on pronunciations and announcements.
Where do we need sound?
A garden ceremony, cocktails on a terrace and dinner indoors may need separate setups. List the spaces and ask which microphones, speakers and setup time are included for each. Check the venue’s power, sound limits, weather plan and required paperwork.
How will you use our song list?
Give the DJ a few must-plays and do-not-plays. Ask how they handle requests from guests, especially if someone asks for a song you’ve ruled out.
Who cues the first dance?
Tell the MC how you’d like to enter and when the photographer needs to be ready. Agree on the person who gives the cue if dinner, a speech or a family tradition takes longer than planned.
What happens if someone or something is unavailable?
Ask about backup equipment and the plan if your assigned DJ or MC cannot attend. Have the arrangements written into the proposal.
What’s in the price?
Compare coverage hours, staffing, lighting, setup, breakdown and travel. Check the overtime rate and who can authorize extra time on the night.
